The team

This role is based in Poland, Krakow. It involves supporting local HR processes and remotely handling offboarding, leave management, and employee lifecycle changes across the EMEA region. You will work in a cross-country setup, collaborating virtually with HR teams in various countries. 

 
The role
  • Manage pre-boarding and onboarding processes across the EMEA region: contact candidates, collect personal data, prepare contracts, organize paperwork and creation of the personal folders (paper/electronic), and conduct HR induction sessions.

  • Act as the Single Point of Contact (SPOC) for candidates, hiring managers, and stakeholders during pre-boarding and onboarding stages.

  • Prepare employment contracts and amendments in alignment with local legislation. Coordinate the signing process depending on the country legislation;

  • Manage referrals for occupational medicine examinations

  • Keep company policies, Standard Operating Procedures (SOPs), and Confluence pages related to Onboarding up to date with changing regulations

  • Create and validate new employee profiles in HRIS ensuring data accuracy.

  • Coordinate referrals for medical examinations.

  • Support the internal and external audits by providing inputs and required information

  • Support the background check process and conduct ID verification during pre-boarding.

What you’ll bring

Experience & Knowledge:

  • Shared Services Background: Minimum 3 years of experience working specifically in an HR Shared Services (SSC) or Global Business Services (GBS) environment is required.

Labor Law:

  • Strong practical knowledge of labor law in Ukraine.
  • Preferred: General knowledge of labor laws in other EMEA countries (e.g., Poland, Romania, Germany, Sweden, Spain, Switzerland, Portugal, etc.) is a plus.

Process Knowledge:

  • Good knowledge of main HR methodologies, onboarding workflows, and the employee lifecycle.

Mindset & Soft Skills (Critical)

  • Adaptability: Demonstrated ability to work in a changing environment; open to new challenges and able to pivot quickly when processes or priorities shift.
  • Resilience: Capable of handling non-standard cases and high volumes of tickets without compromising quality.
  • Communication: Strong communication skills with a focus on Customer Directivity/Service.

Technical Skills:

  • HR Systems: Experience with Workday is required. (Knowledge of Oracle is a strong plus).
  • Workflow Tools: Knowledge of Jira (ticketing) and Confluence (knowledge base).
  • Data: Strong data management skills and attention to detail.

Languages:

  • English: Intermediate to Upper-Intermediate (B2 level minimum).
  • Ukrainian: Fluent (Required for local documentation).
  • Other languages are a strong plus.
